Scope

These regulations apply to the processing of personal data by Evoli.

Definitions

Personal data
Any data relating to an identified or identifiable natural person.

Processing of personal data
Any operation or set of operations involving personal data, including, in any case, the collection, recording, organisation, storage, adaptation, alteration, retrieval, consultation, use, disclosure by means of transmission, dissemination or any other form of making available, bringing together, interconnection, as well as blocking, erasure or destruction of data.

Data subject
The person to whom a personal data relates.

Activities

Commissioned by various organisations (e.g. companies, company doctors), Evoli carries out coaching processes including absenteeism processes aimed at returning to work and/or employment. Evoli offers individual coaching and training for employees and managers to optimise vitality and talents. This creates engagement, happiness at work and contributes to sustainable employability. Evoli carries out commissioned work for various organisations.

Vitality and Absenteeism
We offer various vitality and absenteeism programmes. We are able to treat burn-out issues, possibly combined with feelings of anxiety or depression. Depending on the problem and the severity of the symptoms, the most appropriate programme is determined after the intake.

Talent development
During an intake we get acquainted and discuss learning goals. Depending on learning goals, an appropriate programme will follow, if required. This can range from a few coaching sessions to programmes with a lead time of three to eight months.

Training courses
Evoli offers various training courses and are aimed at employees, managers/leaders and HR professionals. The topics all touch on vitality, employability and going to work with pleasure.

Purpose of processing personal data

The processing of personal data by Evoli is solely for the purpose of collecting and recording data necessary for the formation and execution of agreements in the field of psychological counselling and training

Processing of personal data

Personal data shall only be processed insofar as they are adequate, relevant and not excessive in relation to the purposes for which they are collected and subsequently processed.

Personal data is processed only in accordance with the General Data Protection Regulation (GDPR).

Protecting personal data

Evoli reasonably takes appropriate technical and organisational measures to protect personal data of the data subject against loss, access by unauthorised persons and any form of unlawful processing.

Access and storage of personal data

Access to the data subject’s personal data is reserved exclusively for Evoli employees to the extent necessary for the performance of their duties in connection with the assignment given to Evoli.

Personal and research data are stored in an online secure cloud environment. Special personal data (medical and psychological research data) can only be accessed by professionals authorised for this purpose.

Persons who have access to personal data are obliged to maintain the confidentiality of the personal data of which they have knowledge, except insofar as any legal requirement obliges them to disclose or the need to disclose arises from their duties.

Right to access data

The data subject has the right to inspect and take copies of the data relating to him/her. To this end, the data subject must submit a written request to Evoli . The request for inspection shall be complied with within two weeks of receipt of the request.

Completion, correction and deletion of data at the request of the data subject

If requested, personal data shall be supplemented by a statement issued by the person concerned on the data relating to him/her.

If personal data are factually inaccurate, incomplete or irrelevant for the purpose of processing or in violation of a statutory provision, the data subject may submit a written request to correct, supplement, delete or block data. Evoli will inform the data subject in writing within two weeks of receiving the request whether or to what extent the request will be complied with.

Deletion of some or all personal data will be carried out within two weeks of Evoli receiving a written request to this effect. Data subjects have the right to oblivion. Data subjects will be informed of the deletion in writing.

Retention period of personal data

Unless the legal retention obligation of seven years applies, personal data will not be kept for longer than necessary to fulfil the purposes for which they are collected and processed. The retention period for these data is set at two years after the formal closure of the file.

Privacy breach complaints

Complaints about privacy, non-compliance with these regulations and/or non-compliance with regulations under the General Data Protection Regulation (GDPR) will be considered. If desired, the data subject may submit a complaint to:
